This policy explains what information the FitnessTrainerOS public site collects, how it is used, and the boundaries we ask you to respect when submitting forms. It covers the public website, feedback forms, and founding cohort applications.

01Scope of this policy
This policy covers the public marketing site at fitnesstraineros.com, including its feedback and application forms. If you are later invited into private onboarding, paid service, or deeper product access, additional or separate privacy and data-processing terms may apply and will be provided at that time.
02Information you submit
Public forms may collect: name, email, business or social link, coach type and business model, active client count, current tools, operating pains, pricing reactions, feature requests, willingness to join the founding cohort, follow-up call interest, and any open-ended feedback you choose to provide. Feedback flows may also confirm your identity through a sign-in step so we know who submitted.
03Information collected automatically
Like most websites, basic technical information may be collected automatically when you visit: IP address, browser and device type, pages viewed, referring page, and timestamps. This is used for site operation, security, and understanding aggregate interest — not for building individual profiles.
04How we use your information
Submissions are used to: review founding cohort interest and fit, respond to you, prioritize product decisions, improve FitnessTrainerOS, understand trainer and coaching business needs, and maintain a record of who has applied or given feedback. Structured feedback is delivered to Sharif Global for review.
05Email and communications
If you submit a form, we may email you about your submission, the founding cohort, or meaningful product updates. We do not sell your email address. You can ask to stop receiving communications at any time by replying or contacting amin@sharif.global.
06Service providers
The site uses third-party providers for hosting, authentication, email delivery, form processing, and analytics. These providers process data on our behalf to operate the site and deliver messages, under their own security and privacy obligations. We do not sell your personal information to third parties.
07Analytics and cookies
The site may use lightweight analytics and functional cookies to understand aggregate usage and keep sign-in sessions working. We aim to avoid invasive tracking. If our analytics posture changes materially, this policy will be updated.
08Data retention
Form submissions and application records are retained while they remain relevant to founding cohort review, product development, and business records, and are deleted or anonymized when no longer needed. You may request deletion of your submissions at any time.
09Data sharing
We share information only with: service providers operating the site, professional advisers under confidentiality, and authorities when legally required. We do not sell or rent personal information. Aggregate, de-identified insights (for example, common tool stacks or pain points across applicants) may inform product and marketing decisions.
10Do not submit sensitive client data
Public forms must not include private client health information, payment credentials, confidential client records, private business information, or regulated personal information. You are responsible for what you submit. If a conversation requires that level of detail, request a separate written agreement first.
11Children and minors
The site is not directed at children and we do not knowingly collect information from anyone under 18. If you believe a minor has submitted information, contact us and we will delete it.
12International visitors
The site is operated from the United States, and information may be processed in the United States. By using the site, you understand your information may be transferred to and processed in jurisdictions with different data protection laws than your own.
13Your choices and rights
You may request access to, correction of, or deletion of the information you submitted through public forms. Depending on where you live, you may have additional legal rights. To exercise any of these, email amin@sharif.global and we will respond within a reasonable time.
14Security of submissions
We use reasonable safeguards for information submitted through the site, but no internet transmission or storage system is perfectly secure. This is another reason public forms should never carry sensitive client or payment data.
15Data export and ownership
FitnessTrainerOS is being built around trainer-owned business infrastructure. The product principle is simple: client records, payments, notes, programs, and business history should remain portable and exportable — your roster and history should never be held hostage by your software. A standing data-export commitment is part of the product design, and paid service will include more specific export and data-processing terms. This philosophy also governs how we treat the information you share with us before ever becoming a customer.
